Pt 1: Starting a Stocktake

Stocktakes are an important part of your business process, to help you identify any imbalances between physical stock and the stock on hand quantities in your SAM system.

In an ideal world the stock on your shelves should always equal the number of items ordered, less the number of items sold... and this is the number your software will assume is correct. However this isnt always the case, due to breakages, theft, data input and human error (like forgetting to add a part on to the invoice).

Stocktakes can be performed at anytime depending on the business needs. It's not uncommon to perform 'rolling stocktakes' throughout the month; usually with fast moving stock or items more prone to physical vs system quantity discrepencies (like oils). Generally at financial year end a full stocktake of your entire inventory is performed to realign all stock balances and ascertain an accurate stock valuation for accounting purposes.

 

To create a stocktake go to Workshop, Stock Enquiry and select the Gear icon

 

This will open a blank stocktake screen, select the Add New icon New Stocktake

 

Select the required filters to narrow-down the stocktake list, or leave as is to do a full stocktake.

Tip: Adding Bin Locations to your stock can make it easier to run "rolling stocktakes" for parts stored in a specific location. Organising stock in this way, and performing rolling stocktakes embeds accurate stock-keeping into your everyday processes.

Once you click Create a stocktake list is created.

 

Printing Stocktake Sheets

A stocktake sheet lists all the items you have added to your stocktake, so you can physically walk around with the printed stocktake sheet and write in the counted quantities of your stock items.

Pro-Tip: Possibly a better option for rolling stocktakes, you can fully embrace technology and count/enter stocktake results directly into a tablet (Save the Trees!) or laptop logged into webSAM!

 

To print your stocktake sheets, click the printer icon in the top right corner of the stocktake list screen:

Note: The stocktake screen can be closed and reopened without losing any data
