Before you can start using webSAM you will need to:

1. Complete the steps in this guide and... 
2. Link webSAM to Xero with this setup guide.

 

 

For the initial setup, log into SAM and go to Setup, System, System Configuration

 


1 - Organisational Details

Setup > System > System Configuration > Organisational details


Start with the Organisational details and load your company details, GST/TAX number, Country code and default tax rate.

A company logo can be optionally uploaded to display on Invoice forms. There are two sizes which will depend on the default form you will select later on.


2 - Forms

Setup > System > System Configuration > Forms setup


Select the default forms for; invoice, job card and orders. Previews are available.


3 - Workshop Setup

Setup > System > System Configuration > Workshop setup


Set your workshop Opening hours.


4 - Labour Categories

Setup > Maintenance > Labour Categories

Load additional or edit the existing labour rates and set your hourly rates in each one.


5 - Technicians

Setup > Maintenance >Technicians

Load your technicians' Names, Hourly cost, select the rates they can charge out and check the profile is correct

The hourly cost displays in the job/invoice margins. This cost can be an average cost, for example all the technician hourly rates divided by the number of techs and add 15% for holidays, sick leave and sundries used.


Technicians can have Sort Orders applied, which will change the order in which the display in the Diary Day Scheduler and Technician Availability screens.


6 - User Logins

Setup > System > User Logins

Load any additional users that are required to access the system.

Users can optionally be linked to technicians. These users will be able to filter the Job and timeclock screens to only display jobs they have been allocated to.


Note: SAM uses a concurrent user license system where unlimited users can be loaded but only a set amount can log into the system at the same time. Depending on your license and the number of users purchased.
