There are a few ways of logging into Smartcheck to begin a WOF inspection:
- From within a webSAM/webWorkshop Job (desktop PC/browser)
- From the Technician web app* (mobile device)
- Log into SmartCheck site directly (mobile or desktop)
*Our Recommendation is to use the Technician Web App, as the technician is already using a mobile device and it will open SmartCheck and select the appropriate job automatically. It also provides a simpler experience when resuming a parked inspection or performing a re-check!

Logging into Smartcheck eWOF
Option 1 - Open SmartCheck from within a job
When logged in to a User Account that is linked to a technician, simply click the Smartcheck icon underneath the job postings on the job:
Option 2 - Open Smartcheck from the Technician Web App
When viewing the details of a Job in the Technician Web App, you can click the checklist icon shown below to be immediately logged in to Smartcheck, and begin a WOF inspection for the current job:
Option 3 - Log into Smartcheck Directly
Administrator Roles: If logging into Smartcheck directly, as a user with the role of Administrator, you will be able to view results but unable to process a checksheet. If this administrator role is linked to a technician, you can still process checksheets by using the webSAM or Web App method of opening Smartcheck.

- Enter your Company ID, Login ID and Password
- Tick Mobile Mode if using a Mobile Device
Once logged in to Smartcheck
- Choose Asset (vehicle) or Job to select what this checksheet will be attached to
- WOF inspections are done using the Job option & the Job must already exist in SAM to start a WOF inspection
Selecting the Job & Starting the Inspection
- If you logged into Smartcheck directly, you will see the following screen to select the appropriate Job, if you logged in via webSAM or the Tech Web App this will only display the job you were working on
- Click OK to proceed
- Details will populate from data uploaded from webSAM
- Click the Details (2) button if you need to view or edit other vehicle details, e.g. to input the VIN number
- Click the Form dropdown (3) to Select the type of check you are doing
- For WOF Inspections, choose WOF Car, WOF Trailer or WOF Motorbike as appropriate
- Click on Start to start the checksheet
Answering the Questions
By clicking on the button directly, it will change between each of the responses.
Each question has 5 different possible responses
All are valid responses except Blank - on a WOF inspection, blank is the default for questions you haven't inspected and entered a result for yet.
- You can click the Pencil icon to view/edit the response to the question in more detail
- If this is a multi page checksheet, click the Next button at the bottom of the screen to continue to the next page, or if this is the last/only page click Finish
N/A (grey circle) is the default response on a WOF inspection for a non-mandatory question, such as Service Brake Performance reading:
If the following message pops up, this means the current question requires detail to be added to the notes:
Pass All
There is a Pass All option at the top of the screen which will quickly mark all items as passed. This should save time, leaving you only having to change any checks to fail if appropriate.
Questions Requiring Measurements
If a question shows the ruler icon, shown below, this indicates the question requires a measurement to be entered, for example tyre tread depth:
Skipping to Specific Sections
You can skip back and forth between sections of a checksheet, for example if the order you prefer to work through during a WOF inspection doesn't match the layout of the eWOF checksheet, by clicking the list icon indicated in the screenshot below:
Finalising the Checksheet
When you have finished going through all the questions you will see a summary page showing the results, if this is a WOF, and fails will also indicate that the inspection has failed and it will be transferred to the Recheck list, detailed further below.
If this is a WOF inspection, you will also see the option to click the WOF Label button, click this to open the screen where you input the NZTA Authorisation number (from the NZTA Waka Kotahi WOF Online portal) and the WOF label number, this will be saved against the checksheet and will be included on the checksheet if it is printed/emailed from webSAM.
Important - Confirm New WOF Expiry Date is accurate! When inputting the information on the WOF Label screen, SmartCheck will attempt to automatically calculate the next WOF date. It is important you check this calculated date is correct as the calculation is based on the vehicle year and/or year first registered dates recorded in SmartCheck; however NZTA stipulate 6 month, 12 month and 3 year WOF expiry periods are based on "Year First Registered Anywhere in the World" and SmartCheck does not record that specific date.
When you click Finish on the prior screen, you will see a WOF Complete confirmation message, clicking ok will log you out of SmartCheck if you opened it from webSAM or the Tech Web App, so you can go back to the browser tab where you were working on the job.
If you logged into SmartCheck directly, you will be taken back to the SmartCheck main menu.
Parking and Resuming a Check Sheet
Parking a Checksheet
If you need to stop an incomplete inspection, so you can return to it later, use the Park option. In Mobile Mode, you can Park the checksheet by clicking the Cancel button and you will be asked if you want to Park the checksheet:
Resume a Parked Checksheet
If accessing SmartCheck from the webSAM or the Tech Web App, simply click the SmartCheck icon when viewing details of the appropriate job and it will automatically resume the checksheet.
If accessing by logging into SmartCheck directly, on the SmartCheck main menu, you can click the Parked Jobs button to see all Parked Jobs and select one to resume
Recovering a Checksheet After Closing Unexpectedly
If a check is closed unexpectedly, for example you accidentally close the window, or the PC reboots, when you attempt to start a new checksheet you may see the following screen which will allow you to continue where you left off:
Performing WOF Rechecks
When a WOF fails, it is automatically stored in Smartcheck as a Recheck.
If accessing SmartCheck from the webSAM or the Tech Web App, simply click the SmartCheck button when viewing details of the appropriate job and it will automatically resume the checksheet.
If accessing SmartCheck by logging into SmartCheck directly, on the SmartCheck main menu, click the Recheck button on the SmartCheck Main Menu:
This will display a list of all vehicles requiring a Recheck:
You can Search and select the appropriate vehicle then click ok to start the Recheck process, which is essentially the same as a new checksheet however all the prior results are stored so you can just focus on the failed items and pass/fail them as appropriate and finalise the checksheet.
TIP - If the failed question was just a simple item that you have resolved immediately but wish to mark that it had originally failed, you would fail it during the inspection but then use the Pass Recheck button shown on the final screen when completing the checksheet.
